Step 1: Login to Your Account
1Access the Login Page
Navigate to https://pgbooking.online and enter your credentials.

Use the username and password provided by your administrator. First-time users should change their password immediately.

Instantly see which rooms are available to show your next tenant! The Room Vacancy feature gives you a real-time snapshot of your property's availability, making it super easy to identify open spaces and plan your next tenant placement.

How to Use Room Vacancy
1Access the Dashboard
Navigate to the Room Vacancy section from your main dashboard. You'll immediately see a visual representation of all your rooms.
2Identify Available Spaces
Available rooms are clearly marked with visual indicators. Green means ready to show, yellow means partially occupied, and red means fully booked.
3Plan Your Next Tenant
When a potential tenant visits, you can instantly show them which rooms are available, making the booking process smooth and professional.

Never miss a payment again! The Monthly Rent Tracking feature is your financial command center. Track rent and payment status for all your tenants in one powerful dashboard. See who's paid, who's pending, and who needs a friendly reminder - all at a glance.

Recording Payments
1Navigate to Rent Tracking
Click on "Monthly Rent Tracking" in the sidebar. You'll see all tenants with their current payment status.
2Record a Payment
When a tenant pays, click "Record Payment" next to their name. Enter the amount, date, and payment method (Cash, UPI, Bank Transfer, etc.).
3Track Payment History
View complete payment history for each tenant. See all past payments, outstanding amounts, and generate receipts instantly.
Payment Status Indicators
Each tenant's card shows their payment status with color-coded indicators:
- 🟢 Green: Payment received and confirmed
- 🔴 Red: Payment overdue - action needed

Adding a New Tenant
1Click "Add Tenant" Button
Navigate to the 📋 Tenant Details section and click the "+ Add Tenant" button in the top right corner.

2Fill in Tenant Information
Enter comprehensive tenant details:
- Full Name: First and last name of the tenant
- Phone Number: Contact number (required for payment reminders)
- Email Address: Email for receipts and communications
- Room Assignment: Select from available rooms
- Monthly Rent: Agreed rent amount
- Security Deposit: Deposit amount if applicable
- Move-in Date: Date when tenant joins
- Emergency Contact: Alternative contact person
3Save and Verify
Click "Save" to add the tenant. They'll immediately appear in your tenant list with all their details accessible.
Viewing Tenant Information
Click on any tenant's card to see their complete profile:
- 📞 Contact information and emergency contacts
- 🏠 Current room assignment and rent details
- 💰 Payment history and outstanding balance
- 📅 Move-in date and lease duration
- 📝 Notes and special instructions
Editing Tenant Details
Update Information Anytime
To modify tenant details:
- Find the tenant in your tenant list
- Click the "Edit" button on their card
- Update any fields that need changes
- Click "Save Changes" to update
Managing Tenant Records
When a tenant moves out:
- Click the "Remove" button next to the tenant's name
- Choose between "Immediate Removal" or "Schedule Removal"
- If scheduling, select the move-out date
- Confirm the action - the tenant will be archived in Settings

Configure your rooms and occupancy like a pro! The Manage Rooms feature lets you set up your entire property structure, define room types, set capacities, and track occupancy in real-time. Perfect for managing multiple room configurations and optimizing your space.

Setting Up Your Rooms
1Add a New Room
Navigate to the "Manage Rooms" section and click the "+ Add Room" button. This is where you'll configure your entire room structure.
2Configure Room Details
Enter comprehensive room information:
- Room Number/Name: Unique identifier (e.g., 101, 102, or "Deluxe A")
- Room Type: Single, Double, Triple, Dormitory, etc.
3Save and Verify
After saving, your room will appear in the room list. You can now assign tenants to available beds in this room.
Viewing Room Details
Click on any room card to see comprehensive information:

See all tenants currently in the room
Available Beds
Know exactly which beds are free
Rent Status
Payment status of each tenant
Contact Info
Quick access to tenant contacts
Managing Occupancy
The system automatically tracks:
- ✅ Which beds are occupied and which are available
- 📊 Occupancy percentage for each room
- 🔄 Real-time updates when tenants move in or out
Editing Room Information
Need to update room details? Simply:
- Click on the room you want to edit
- Click the "Edit" button
- Modify any details (rent, capacity, amenities, etc.)
- Save changes - the system updates everything automatically

Adding Expenses
1Navigate to 📊 Monthly Analysis
Click on "Monthly Analysis" in the sidebar. You'll see your financial dashboard with income, expenses, and profit calculations.
2Click "Add Expense"
To track your business costs, click the "Add Expense" button. This helps you get accurate profit calculations.
3Enter Expense Details
Fill in comprehensive expense information:
- Category: Electricity, Water, Maintenance, Salaries, Internet, Security, Cleaning, etc.
- Amount: Total expense amount
- Date: When the expense occurred
- Description: Brief details about the expense
- Payment Method: How you paid (Cash, UPI, Bank Transfer)
4View Updated Analytics
After adding expenses, your profit/loss calculations update automatically. See how expenses impact your bottom line in real-time.
Understanding Your Reports
The 📊 Monthly Analysis dashboard shows:
- 📊 Total Revenue: Sum of all rent collected this month
- 💸 Total Expenses: All business costs you've recorded
- 💰 Net Profit: Revenue minus expenses (your actual earnings)
- 📈 Trends: Compare current month with previous months
- 📉 Expense Categories: See which categories cost the most

See comprehensive information about your PG:
- Property Name: Your PG's registered name
- Address: Complete property address
- Contact Information: Phone, email, and other contact details
License Expiry Date
Track Your License Status
The Settings section prominently displays your license expiry date. This helps you:
- ✅ Stay compliant with licensing requirements
- 📅 Plan ahead for license renewal
- ⚠️ Get notified before expiration
- 📋 Maintain proper documentation
Past Deleted Tenants
Access Historical Records
All tenants that have been removed from your active list are preserved in the Settings section under "Past Deleted Tenants". This includes:
- 📋 Complete tenant information (name, contact, room assignment)
- 📅 Move-in and move-out dates
- 💰 Payment history during their stay
- 📝 Notes and special information
- 🗑️ Deletion date and reason (if recorded)
